Build the calendar from confirmed expiries

Use the expiry supplied after provisioning rather than estimating from the day a customer first enquired. Record the date, time zone if relevant, customer reference and selected term. A one-month term should not be silently converted into a fixed number of days without confirming how the account period is defined. Keep the calendar consistent with the actual panel record so that your reminder is tied to the right account.

Ask what reminders the customer wants

During the handover, ask whether a renewal reminder would be useful and which contact channel they prefer. Record the answer, including a request for no reminders. This is a practical customer-care workflow, not a substitute for the rules that apply to your business. Keep promotional broadcasts separate from account-specific follow-ups, and make it straightforward for a customer to change a previous contact preference.

Use a small set of clear statuses

Suggested statuses are active, reminder due, awaiting decision, renewal confirmed and not renewing. A reminder sent is not a renewal confirmed. A customer's request for pricing is not proof of payment. Keeping those distinctions in the record avoids prematurely deducting credits or promising an extension that has not been processed. Limit access to the calendar to people who need it, and avoid storing private account passwords in event titles.

Make the reminder informative

A useful reminder identifies the account reference, confirmed expiry, proposed term and full price, and invites the customer to decide. Do not frame an optional renewal as a debt or claim that an unconfirmed extension has already happened. If the customer requests a different term, recalculate the credit requirement and confirm the updated offer. Keep the message short enough that the decision and relevant date are easy to find.

Close the loop after the decision

After a renewal is processed, verify the new expiry, update the inventory record and replace the old reminder with the next agreed one. If the customer declines, stop pending renewal prompts and record that choice. If they do not respond, follow only the contact approach they agreed to rather than generating repeated messages automatically. A well-maintained calendar supports service continuity without treating every expiring account as a guaranteed future sale.
